1. Overview

RennoMate (“we”, “us”, “our”) is committed to protecting your personal information. This policy explains how we collect, use, and safeguard your data in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).

2. Information We Collect

Account information: When you sign up, we collect your full name, email address, password (encrypted), and state/territory.

Quote data: When you upload quotes, we store the original file (PDF or image), the extracted text, AI-generated analysis, and any notes you add. See section 7 for how long we retain these and why.

Usage data: We collect anonymous analytics data including pages visited, features used, and general interaction patterns to improve the service. This data is collected via PostHog and cannot be used to identify you personally.

Feedback: If you respond to in-app surveys (e.g., pricing preferences), we store your response linked to your account.

3. How We Use Your Information

• To provide the quote analysis service
• To send you account-related emails (confirmation, password reset)
• To improve and develop the service based on usage patterns
• To respond to your enquiries

We do not sell your personal information. We do not use your quote data for any purpose other than providing the service to you.

4. Third-Party Services

We use the following third-party services to operate RennoMate:

• Supabase (database and authentication) — stores your account and project data
• Anthropic (Claude AI) — processes your quote text to generate analysis. Quote text is sent to Anthropic's API for processing but is not stored by Anthropic beyond the request.
• Vercel (hosting) — serves the web application
• PostHog (analytics) — collects anonymous usage data, only with your consent
• Australian Business Register (ABR) — we verify ABN numbers against the public ABR database

5. Cookies and Analytics

We use cookies and similar technologies for:

• Essential cookies: Required for authentication and session management. These cannot be disabled.
• Analytics cookies: Used by PostHog to understand how the service is used. These are only set after you consent via our cookie banner.

You can withdraw cookie consent at any time by clearing your browser cookies and revisiting the site.

6. Data Storage and Security

Your data is stored on servers managed by Supabase. While we take reasonable steps to protect your information (encrypted passwords, HTTPS, server-side API keys), no system is 100% secure. We encourage you not to upload sensitive personal information beyond what is needed for quote comparison.

7. Data Retention — Uploaded Quotes

We retain your account and project data for as long as your account is active. If you delete your account, we will delete the user-facing copy of your data (account, projects, notes, and your copy of uploaded files) within 30 days.

Retention of uploaded quotes: By uploading a quote to RennoMate you agree that we may retain a copy of the file and its parsed data (contractor details, line items, pricing, scope, etc.) on our servers indefinitely, even after you delete your account. We use this retained data to improve our AI analysis, spot patterns across quotes, and make RennoMate more accurate for future users. This data is stored privately — it is not shared with third parties, and is not used for marketing.

Full deletion on request: If you want us to purge your retained quote files and archived data completely, email support@rennomate.com from the address linked to your account. We will action the request within 30 days.

Anonymous analytics data may be retained indefinitely.

8. Your Rights

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and data
• Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we have breached the APPs

9. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of significant changes by email or by displaying a notice in the app.
